Tip to find lost stuff in ACT!

Every once in a while it happens to each of us. It's been a few days, and we know we entered that call that note into ACT!, but we just can't find it. Although they are are a few ways that data can actually be missing (synchronization with Outlook, user error, sync with third-party software, and a few very rare works in the system), usually is there but not where we thought it would be.

Here are some common examples:

  • data was entered into the wrong database
  • there are duplicate contacts in the database and the data was entered on to a different contact
  • filters within notes and history
  • inconsistent data entry (first name or last name not properly mapped)

 

However, if the data was entered into the database and you just having a hard time finding it, here is a little trick to retrace your steps and find your missing data.

  1. Within groups, make a new group called all contacts
  2. under the contacts tab choose the button for add remove contacts and set the criteria to dynamic
  3. within the dynamic group criteria, choose create date contain data (this will force all contacts in the database into your group)
    • another trick is that set create date equal to last seven days to review only recently created contacts
  4. Once the group is created review the notes histories activities tabs within the group for your missing data.
